What You’ll Do:
  • Coordinate receipt and distribution of medical records for HLI clients
  • Work directly with clinicians and clinical staff to fulfill incoming and outgoing record requests
  • Ensure timely retrieval of external medical records to support scheduled client visits
  • Submit records requests to outside providers, hospitals, and imaging centers as needed
  • Track status of outstanding requests and follow up to ensure completion
  • Organize, upload, and index incoming medical records in HLI’s EMR for clinician access
  • Verify accuracy and completeness of medical records before distribution
  • Import external images and reports into HLI PACS for clinician review
  • Respond to clinician and clinical staff inquiries regarding the status of requested records
  • Maintain compliance with HIPAA and internal privacy protocols when handling all records
  • Support special projects or bulk record transfers as directed by the clinical team
What We’re Looking For:
  • High school diploma or equivalent
  • Knowledge of HIPAA compliance regulations
  • Proficiency with Electronic Health Records (EHR) systems such as Veradigm
  • Outstanding communication skills, both verbal and written, with the ability to adapt to various audiences
  • Proven ability to maintain confidentiality and discretion in a medical environment
  • Strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities simultaneously
  • A collaborative, team-oriented approach to problem-solving and service


Preferred Qualifications:
  • Some college or technical training
  • A customer-centric mindset, with a knack for anticipating needs and providing exceptional service
  • Independent work ethic with minimal supervision
  • Strong Microsoft Office skills and familiarity with Salesforce, WebEx, DocuSign, and Macintosh systems
